Leadership Team Roles
The leadership team is made up of the tri-chairs, the treasurer, the secretary/scribe, newsletter editor, and webmaster. These roles can overlap as needed (i.e. Staff co-chair who also serves as scribe).
Tri-Chairs
Three Chairs (faculty co-chair, staff co-chair, student co-chair) make up the main portion of the leadership team. There should be one chair each for Faculty, Staff and Students. The leadership responsibilities are split up between the three chairs as needed. At least one chair should be at a meeting, though all three chairs should make an effort to attend as many meetings as possible, to help guide the efforts of the CGLBTC.
Duties (to be split up between the three as needed):
- Set meeting agendas (includes calling for new agenda items from the CGLBTC listserv, and sending out the agenda to the listserv)
- Facilitate discussions (follow the agenda, make changes as needed on the fly, keep the discussion on topic, table discussions when time is limited)
- Meet outside of the regular meetings to discuss strategies and important agenda items prior to the regular meetings, as needed.
- Represent the Committee at CGLBTC-sponsored events, or speak on behalf of the Committee when necessary.
- Write up the annual report to the Chancellor.
- Oversee the fundraising for the year (work with the treasurer to update the fundraising letter).
- Oversee the award sub-committee (call for volunteers for the committee, poke the sub-committee chair if they forget to do something).
Time requirement: 2-4 hours a month (2 regular meetings, and 0-2 leadership meetings)
Treasurer
Anyone can serve as a treasurer. You must be able to travel to the Union on City Campus to pick up the account reports, and be able to perform the duties of the treasurer.
Duties:
- Pick up the bi-monthly reports from SOFS
- Keep track of the CGLBTC's spending
- Provide the CGLBTC with reports of our funds
- Co-sign purchases, transfers, etc.
- Update the annual-ish fundraising letter, update the fundraiser mailing list, and oversee sending out the fundraising letters (co-chairs and committee members will assist as needed)
Time requirement: 2 hours a month at maximum. The treasurer does not need to attend all meetings as long as they keep track of money commitments from the Committee minutes and send regular reports to the tri-chairs and/or the listserv.
Secretary/Scribe
Anyone can serve as Secretary/Scribe. You must be able to attend meetings as often as possible.
Duties:
- regular attendance at meetings
- take minutes at meetings (see previous years' minutes for examples of the information we want)
- submit minutes to CGLBTC listserv for corrections and to the CGLBTC webmaster to add it to the website.
Time requirement: 2 hours a month.
Newsletter Editor
Anyone can serve as Newsletter Editor. You must be able to edit files either on Word, Pagemaker, Publisher, or other newsletter software.
Duties:
- Update the newsletter for new faculty before the Fall and Spring semesters.
Time requirement: A few hours every semester.
Webmaster
Anyone can serve as webmaster. You must be able to secure FTP files to the server and edit webpages.
Duties:
- Add minutes to the website.
- Keep the announcements and events updated (information can be pulled from the minutes or from announcements from the listserv/tri-chairs).
- Update the website in a timely manner.
- Correct page errors as reported.
- Oversee the CGLBTC wiki.
Time requirements: 30 minutes every month (depending on how long it takes you to update and FTP webpages).
